How to use tags with Webroot Security Awareness Training

Tags are a handy way to group email addresses (also known as targets) together that share a common trait and are an optional part of the service. Some examples of where tags could be helpful:
  • Grouping all the employees at one physical location
  • To track all the employees in a particular department
  • Grouping employees together that are working on the same project
Once assigned to users, tags can be used to quickly add users that share a common trait to a campaign. For example, if users in the office location tagged as “headquarters” all need to be added to the same campaign, selecting the “headquarters” tag when defining the target list will quickly add all the targets that have this tag.

Tags can be entered manually when users are created or modified after users have already been setup. When creating users by upload, tags can be included in the CSV file, which will create them in the system as part of the user creation process.

Tags are managed from the Target Data screen. This is opened by clicking the Targets link under Settings in the Security Awareness Training console, which is accessible from the Webroot Management console after logging in.


Adding tags when creating new targets
1. Log into the Webroot Management console.
2. Open the Security Awareness Training console.
3. Click the Targets link on the left side navigation menu to open the Target Data page.
4. Click the Import Targets button to open the Import Targets window.
5. Choose the import method:
  • Enter Targets Manually – targets entered manually one at a time
  • Upload Targets – multiple targets can be uploaded
6. If Enter Targets Manually is selected, enter names, email addresses and tags one at a time using the top row, clicking the Add Target button once the information is filled out for that target.
7. If Upload Targets is selected, enter the target information in the lower box, ensuring to follow the suggested format, then click the Import button.
  • Format is: firstName,lastName,email,tags,companyUserId
8. Once completed modifying tags, click Done to close the Import Targets window.

Managing tags for existing targets
1. Log into the Webroot Management console.
2. Open the Security Awareness Training console.
3. Click the Targets link on the left side navigation menu to open the Target Data page.
4. Check the boxes for the targets that you want to manage, this displays a new button Manage selected target tags.
5. Click the Manage selected target tags button to display 3 new boxes and one button on the page:
  • Add new tag box – Used to create a new tag for the selected target(s), click the plus sign (+) once the new tag has been entered.
  • Add tag(s) to selected box – Displays the actual tag that will be assigned to the selected target. If clicked without entering any tags, will display a list of all tags.
  • Remove tag(s) from selected box – Used to remove tags from the selected target(s). Either click in the blank box to display all tags or start typing to narrow the list down to match the entered text.
  • Apply changed tags to selected button – Used to commit the changes.
6. Click the Apply changed tags to selected button to save the changes and proceed.

Using tags in campaigns
Tags are useful when defining the target list for new phishing or training campaigns and can be used during campaign setup or after to modify the target list for an existing campaign.
1. Log into the Webroot Management console.
2. Open the Security Awareness Training console.
3. For new campaigns, click New Campaigns from the left hand nav menu, choose phishing or training, provide a name/description, click Save/Next to get to the Targets screen.
4. For existing campaigns, click Campaigns from the left hand nav menu to display a list of created campaigns, click the pencil icon next to the campaign name to edit the campaign and click the Save/Next button until you get to the Targets screen.
5. From the Targets screen, locate the box with the light gray text Select tags to search. Clicking this box while it is empty will display all the defined tags, entering characters will narrow the list down and the system will display tags that are a potential match to what has been input.
6. Click a tag to select it, this will display all targets that share this tag. Click the top of the column to select all targets or check the targets one at a time to include them in the campaign.
7. Click Save/Next to continue in the process and continue setting up a new campaign or complete the modifications to an existing campaign.

Searching for tags
1. Log into the Webroot Management console.
2. Open the Security Awareness Training console.
3. From the Targets screen, locate the box with the light gray text Select tags to search. Clicking this box while it is empty will display all the defined tags, entering characters will narrow the list down and the system will display tags that are a potential match to what has been input.
4. Clicking a specific tag will display all the targets that share that tag in the box below.
